Safeguarding & child protection policy

The Tuition Room is committed to safeguarding the wellbeing of every child who uses our platform. This policy sets out the standards we hold our tutors to, and what parents, students, and tutors can expect from us.

1. Our commitment

Every child has the right to learn in a safe, respectful environment, free from any form of harm, discrimination, or exploitation. This applies to every session booked through The Tuition Room, regardless of country or curriculum.

2. Tutor screening

Before a tutor is approved to work with students, we require:

  • Verification of identity and stated qualifications
  • A police clearance certificate, where legally obtainable in the tutor’s country of residence
  • At least two professional or academic references
  • Agreement to this Safeguarding Policy as a condition of being listed on the platform

3. Session conduct

All tutors are required to:

  • Conduct sessions via the platform’s approved video tool (Zoom), never through unmonitored or private channels
  • Keep session content strictly academic and age-appropriate
  • Avoid any private, one-to-one communication with a minor outside of scheduled sessions unless a parent/guardian is copied in or has given explicit permission
  • Never request or share personal contact details, social media, or off-platform messaging with a minor directly
  • End a session immediately and report to us if a child discloses something concerning, or if the tutor has any safeguarding concern

4. Parental involvement

  • We encourage a parent or guardian to be reasonably available or nearby during sessions, particularly for younger children.
  • Parents may request to observe a session or receive a summary of session content at any time.
  • Session recordings, where used, are only accessible to the parent/guardian and The Tuition Room, never shared externally without consent.

5. Reporting a concern

If you are a parent, student, or tutor and have any concern about the conduct of a session, a tutor, or a student’s wellbeing, please contact us immediately.

We treat all reports seriously and confidentially, and will investigate promptly. Where a concern involves a risk of harm to a child, we may be legally required to escalate it to the relevant authorities in the applicable country.

6. Response to a breach

Any breach of this policy by a tutor — including inappropriate conduct, unauthorised off-platform contact with a minor, or failure to report a concern — will result in immediate suspension pending investigation, and may result in permanent removal from the platform.

7. Data protection for minors

Personal data relating to a child is handled in line with our Privacy Policy, with access limited to what is necessary to deliver and safeguard the tutoring relationship.

8. Review

This policy is reviewed at least annually, or sooner if required by a change in law or a safeguarding incident.
