Cancellation & refund policy

This policy explains how rescheduling, cancellations, and refunds work for sessions booked through The Tuition Room.

1. Free trial sessions

  • Your first session is a free 30-minute trial, offered once per student.
  • If you need to reschedule your trial, please give at least 24 hours’ notice via WhatsApp or email.
  • No-shows without notice may forfeit the free trial offer.

2. Cancelling a paid session

  • Clients may cancel or reschedule a paid session with at least 24 hours’ notice at no charge.
  • Cancellations made with less than 24 hours’ notice may be charged at 50% of the session rate, as the tutor has reserved that time.
  • Repeated late cancellations may affect a Client’s ability to book with a specific tutor in future.

3. Tutor-initiated cancellations

If a tutor needs to cancel or reschedule a confirmed session, we will notify the Client as soon as possible and offer either a rescheduled session at no extra cost or a full refund/credit for that session.

4. Session packages and credits

  • Where a Client purchases a package of multiple sessions, unused sessions may be refunded on a pro-rata basis within 14 days of purchase, minus any sessions already completed.
  • Session credits, where offered, are valid for 6 months from the date of purchase.

5. No-shows

If a Client does not attend a scheduled paid session without prior notice, the session is rescheduled or refunded at our discretion.

6. How to request a cancellation or refund

Contact us with your name, session date, and reason for the request.

We aim to respond to all cancellation and refund requests within 48 hours.

7. Refund processing

Approved refunds are issued to the original payment method and may take 5–10 business days to reflect, depending on your bank or payment provider.

8. Exceptions

We consider requests outside this policy on a case-by-case basis where there are genuine extenuating circumstances (e.g. illness, emergencies) — please just get in touch and explain your situation.
